Cosilan Systems Limited
What we collect, why we need it, and who helps us handle it. This notice covers this website and initial enquiries, not separate client software we build.

Cosilan Systems Limited is the controller of the personal information described here. Contact us using the details below for privacy questions or requests.
Cosilan Systems Limited is registered in England and Wales.
Company number 16323590.
Registered office: 31 Hobby Close, Broughton Astley, Leicester, England, LE9 6RP.
The enquiry form asks for your email address and message. Your name is optional. It also records your acknowledgement that you have read this notice and want a reply. We do not ask for a phone number, company name, budget, files, or payment details.
Information you voluntarily include in a message or subsequent email becomes part of the enquiry. Please do not send passwords, financial details, health information, or confidential client documents through this form.
Our hosting provider processes technical request information, such as IP addresses, requested pages, browser information and request times, to deliver and secure the site. An invisible form field helps identify automated spam; it is not intended to collect information from people.
We use enquiry details to answer questions and discuss potential work. Where you ask us to take steps towards a contract with you, that is our lawful basis. For general or business-to-business enquiries, our legitimate interest is responding to people who contact our business.
Our legitimate interests also include keeping the website secure, filtering spam, and keeping relevant business correspondence. Legal obligations may require us to retain certain records.
Sending an enquiry does not subscribe you to marketing. The form acknowledgement is a request for a reply and acknowledgement of this notice, not blanket consent to marketing or unrelated processing.
We do not sell enquiry information or share it with advertisers. We may disclose information where legally required or where needed to establish or defend legal claims.
We use AI tools, including OpenAI tools, for internal technical support and general drafting. We do not put customer enquiries or client documents into AI tools as part of this workflow.
This website has no active AI chatbot. The contact form does not send its contents to OpenAI or another generative AI service. The animated code display is an illustration, not a live AI conversation or a demonstration of a client's system.
We do not use AI to make decisions about visitors that have legal or similarly significant effects. Automated spam filtering may filter an enquiry; email us directly if you have difficulty contacting us. If we introduce a visitor-facing AI feature, we will update this notice and explain its data handling before use.
Our providers operate internationally, so hosting, email, spam-filtering and optional analytics data may be processed outside the UK, including in the United States. Their processing locations and transfer arrangements are described in their privacy and contractual documentation.
UK data protection rules require an appropriate basis for restricted transfers, such as adequacy regulations or approved contractual safeguards. Contact us for information about the arrangements applicable to your data or to request a copy of the relevant safeguards.
We keep enquiry correspondence while dealing with it and, after it is closed, only where needed for relevant follow-up, a resulting client relationship, or legal and record-keeping requirements. Relevant factors include whether work is ongoing, whether a dispute or legal obligation applies, and whether we still need the correspondence.
Form submissions and emails are separate copies held in Netlify and Microsoft. Deletion and retention reviews need to cover both. Provider-managed security logs and backups follow the applicable provider settings and retention arrangements. Contact us to ask about, or request deletion of, a particular enquiry.
You can choose not to submit the form. We need an email address and enough information about the enquiry to reply. You may contact us by email instead.
Depending on the circumstances, you may ask to access, correct, erase or restrict use of your information; object to processing based on legitimate interests; or request portability. Where processing relies on consent, you can withdraw it without affecting earlier lawful processing. These rights can have legal exceptions.
Email charliecleaver@cosilansystems.com. We may need to check your identity proportionately before acting on a request.
You can also complain to the UK Information Commissioner's Office at ico.org.uk/make-a-complaint. You do not have to contact us first.
